General Terms & Conditions – Holiday Suites


These general terms and conditions apply to all reservations made with Holiday Suites International BV, registered office at Monnikenwerve 17-19, 8000 Bruges, Belgium (company number 0644.384.658). By making a reservation, you agree to the provisions below.

1. Reservations


Holiday Suites only accepts reservations from persons aged 18 or older. Holiday Suites reserves the right to refuse a reservation without stating a reason.
All personal details of the guests, including address, telephone number and email, must be provided correctly and completely. Without this information, Holiday Suites cannot provide essential details such as access codes or directions.
It is prohibited to allow persons or pets to stay in the suite if they were not included in the reservation. In case of violation, Holiday Suites may charge additional costs or terminate the stay immediately, without refund.

2. Prices


The prices listed on www.holidaysuites.eu
 apply at the time of booking. Holiday Suites reserves the right to adjust prices or apply surcharges in case of changing conditions, such as energy prices or taxes.

Included in the price:

• Rental of the suite
• Final cleaning
• Use of energy, water, basic facilities and Wi-Fi
• VAT
• Bed linen

Not included in the price:

• Tourist tax (depending on location)
• Optional towel rental
• Supplements such as pets, baby kit, extra cleaning, made-up beds
• Interim cleaning (on request)

3. Promo Codes and Discounts


Promo codes and discounts cannot be combined and apply only to reservations of at least two nights, unless otherwise stated. Discounts do not apply to existing bookings and cannot be applied retroactively. Promotions may be limited per accommodation type or residence and may be withdrawn at any time.

4. Payment


For reservations with an arrival date within two months, full payment is required immediately.
For reservations more than two months before arrival with a total amount from €250, you may choose between a 30% deposit (balance due two months before arrival) or full payment upon booking.
Reservations under €250 and more than two months before arrival must be paid in full immediately.
For last-minute bookings (within seven days before arrival), payment must be made immediately after reservation. In case of non-payment, Holiday Suites may cancel the reservation.

5. Changes and Cancellations


Changes can be requested up to 30 days before arrival, depending on availability. A change to a lower-priced rate incurs a €35 administration fee. Any price difference must always be paid, including under flexible booking conditions.
Cancellations are not free of charge unless the “Flexible Booking Conditions” option was added. Under the standard rate, the following applies:

• Cancellation more than 30 days before arrival: 30% of the total amount is due.
• Cancellation less than 30 days before arrival: 100% of the total amount is due.

The “Flexible Booking Conditions” option (€15 per night per suite) includes:

• One free modification up to 2 days before arrival
• Free cancellation up to 2 days before arrival

Later changes or cancellations remain fully payable. If a change is made to a more expensive period or suite, the price difference is always at the customer’s expense.

6. Arrival and Departure


Check-in is possible from 15:00. If you do not arrive within 24 hours after the scheduled arrival date without prior notice, the reservation will be considered cancelled without refund.
Unless a late check-out has been booked and paid for, the suite must be vacated by 10:00. All suites must be left in a tidy state according to the given instructions.

7. Pets


Not all suites are pet-friendly. Pets must always be included in the booking.
A supplement of €17 per night per pet applies for extra cleaning.
A maximum of two pets per suite is allowed. Pets may never be left unattended in the suite and are not allowed on beds or sofas.
Pets must be kept on a leash on the premises, and waste must be cleaned up by the owner.
In case of violation, additional cleaning fees or compensation may be charged.

8. Liability


Holiday Suites is not liable for loss, damage or theft of personal belongings during the stay, nor for technical disturbances or nuisance caused by third parties.
The guest is responsible for all damage caused by themselves, fellow travellers or pets. Any damage must be reported immediately.
Smoking is strictly prohibited inside the suites and in all common areas, including the use of electronic cigarettes.
It is prohibited to remove, cover or tamper with smoke detectors, fire alarms or other safety equipment.
In case of smoking inside the suite, disabling smoke detectors or other dangerous behaviour, a €250 fine will be charged, in addition to any cleaning or repair costs.
Holiday Suites reserves the right to terminate the stay immediately without refund.

9. Privacy


Holiday Suites processes personal data in accordance with GDPR. Your data is used for reservation management, customer communication and marketing.

10. Final Provisions


Belgian law applies to all agreements. In case of disputes, only the courts of Bruges have jurisdiction.

11. Force Majeure


In case of force majeure (such as strikes, fire, storm, flooding, war, pandemic or other events beyond Holiday Suites’ control), Holiday Suites may suspend execution of the agreement without compensation.
If the stay cannot take place due to force majeure, the customer will receive a voucher or may rebook free of charge, depending on the situation.

12. House Rules


To ensure a pleasant stay for all guests, the following house rules apply:

• Respect quiet hours between 22:00 and 08:00.
• Smoking is prohibited in the suites and on the entire property. Never tamper with smoke detectors.
• Always use the extractor hood when cooking.
• Do not move furniture.
• Do not leave personal items or equipment in hallways or common areas.
• Report any damage within 2 hours of arrival.
• Pets may never be left unattended.
• Use of the provided bed linen is mandatory.
• Park only in designated spaces.
• Check-out duties:
– Empty the dishwasher and store kitchen items
– Remove bed linen and place it in the plastic bag at your door
– Close windows and doors; switch off heating and lights
– Sort and deposit waste in the designated containers

Prohibited:

• Charging electric vehicles via suite power outlets
• Charging electrical devices not belonging to the suite (except phones, tablets, etc.)

A fine or compensation may apply in case of violation.

13. Closure of Facilities


Pools, saunas, spas, play areas and other facilities may be closed due to maintenance, technical issues, weather conditions, safety regulations or decisions by the building manager/VME.
Such closures fall outside the responsibility and control of Holiday Suites.
No refunds or compensation will be provided in case of temporary or prolonged closure.
Holiday Suites will inform guests when possible but cannot guarantee facility availability.
